Post: Facilities Administrator
Reports To: Facilities Manager
Overview of the Post
The facilities administrator will be a key role in the facilities team. They will support the facilities
manager, bio medical engineer and project manager. As UPMC Ireland grows, the facilities
administrator will be the central services support contact for all UPMC sites.
Duties and Responsibilities
· Maintain the Manage-Engine Helpdesk/Asset database, systems and procedures in relation to the Hospital Utility, Facilities & Bio-Medical system
· Ensure that all new Assets are added to the Manage-Engine system Helpdesk/Asset database system and PPM schedules are setup as per Facilities Manager and/or Bio-Medical Engineer guidelines
· Support the Facilities Manager & Bio-Medical Engineer with managing the on-site Sub-Contractors and any other Specialist Visiting Engineers to the site as may be required, in such a way so as to achieve the highest level of service to the Hospitals occupants in the most cost efficient and technically competent manner
· To complete & comply with all clerical, paperwork and administrative procedures to ensure that the reporting systems and monitoring responsibilities are maintained throughout
· Raise Purchase Orders for Service Contracts, materials/stock, preventative & re-active work in accordance with the Facilities Manager and Bio-Medical budget guidelines
· To support the Facilities/Bio-Medical team with the operation and maintenance of the building services installed, within the broad range of their technical disciplines, in total compliance with the job specification and in accordance with PPM schedules and task sheets provided by the Manage-Engine Helpdesk/Asset database PPM system
· Support the Facilities Manager & Bio-Medical Engineer with managing all tasks undertaken in accordance with the UPMC Whitfield Quality/Health & Safety/Facilities Policies & Procedures and in accordance with the appointed accreditation body
· To plan and conduct scheduled audits on the performance of the Sub-contractors to ensure their performance continues to provide the best value-for-money & quality service
· To ensure close liaison with the Quality & Safety Director (Office) to ensure compliance with all current & pending legislation
